Match deposits to your bank statement

The organisation's Payouts page lists every deposit RaffleLink has made to your account, the way it appears on your statement, with the payouts behind each one.

Last reviewed 3 November 2026

"A deposit landed and it matches nothing on my dashboard." We hear this a lot, and it's nobody's mistake. A raffle's pages show its gross sales, a deposit is what's left after the service fee, and one payment run pays your account once per statement reference: one raffle's final balance and another's weekly instalment can land as a single credit, while donation money always lands as its own. The organisation's Payouts page shows your money the way your bank does, so the two can be matched line for line.

You'll find it under Payouts in the sidebar, just below Analytics. It's for whoever does your books. Admins and Readers can open it, so a treasurer with read-only access can reconcile without being able to change anything. (Each raffle still has its own Payouts tab for the raffle-by-raffle view; see Track your payouts.)

The organisation's Payouts page: the three figures at the top, the Bank deposits table with an amount typed into the search, and the Not yet in your bank list below. Hand me the file named org-payouts-page.png and I'll place it at /img/org-payouts-page.png.

The figures at the top

  • Paid to your bank — every deposit RaffleLink has made to your account, after service fees.
  • Last deposit — the most recent one.
  • On its way — payouts scheduled for the next payment run or already being sent. Payouts on hold aren't counted.

Bank deposits

One row per credit, as it appears on your statement:

  • Paid — the date it was sent. Allow a business day or two for your bank to show it.
  • Amount — what landed.
  • Statement reference — the text beside the deposit on your statement. Raffle proceeds look like RaffleLink 26-0042; donations look like RL Donate 26-0042. A payment made outside the regular run (you invoiced us, or an international transfer) shows Outside the regular run instead.
  • What it covers — the raffle and the kind of payout: Final balance, Weekly instalment, Adjustment, or Supporter donations. When several payouts settled in one credit, it reads 3 payouts: Spring Raffle, Christmas Hamper, Supporter donations.
  • Paid to — the account name and its last four digits. This column only appears once your deposits have gone to more than one account.

Finding a deposit

Type the figure straight off your statement into Search by amount, reference or raffle. 1509.16, $1,509.16 and 1509 all find the same deposit. You can also search by the statement reference, a raffle name, an invoice number, the payout type, or the account.

What's behind a deposit

Choose Breakdown on a row (or click the row) to see the payouts that made it up. Each line shows Gross, Service fee, Fee assistance and Referral credit where they apply, and Net, with a Deposited to your bank total that adds up to the deposit. From each line you can open the raffle's tax Invoice, or the Statement for a donation payout, and jump to the Raffle. Donation lines show No fee, because your organisation is never charged on donations.

Not yet in your bank

Below the deposits, Not yet in your bank lists payouts that have been worked out but not paid, after the service fee, each with a status:

StatusWhat it means
ScheduledGoes out with the next payment run.
Being sentIn a payment run that's on its way to the bank. Allow a business day or two.
On holdHeld back for now. Usually the payout account still needs verifying; we'll email you if anything is needed from you. See Verify your payout account.
ReturnedThe bank returned this payment. Check the account under Settings; we'll send it again once the details are confirmed. See If a payment comes back.

The How column says how it will arrive: Bank transfer, Your invoice to RaffleLink, or International transfer.

Donations, and who sees them

Donation money is paid as its own deposit with its own reference, and for Admins it appears here alongside raffle deposits. Readers see raffle deposits only, and a note on their page says so. The detail of each donation payout lives in Donation payouts.

Cash & POS Sales don't appear here

Money you collected yourself at the booth never passes through RaffleLink, so there's nothing for us to deposit. You'll find it in your analytics and reports, not here.
